1) Scope & Acceptance

These terms apply to all reservations made directly with Uitzicht Guesthouse (website, email, telephone/WhatsApp, walk-in) and, where not inconsistent, to bookings via third-party platforms (OTAs, agents, corporates). By making a reservation, paying a deposit, or signing our check-in/indemnity form, you accept this Booking Policy and our House Rules and Privacy Policy (POPIA).


2) Our Rooms & Occupancy

  • Inventory: 10 en-suite rooms (max ±20 guests sharing using twin conversions).

  • Categories:

    • Uitzicht Signature Room – bath and shower (premium). (Rooms 3, 4, 10)

    • Classic Luxury Room – shower. (Rooms 1, 2, 5, 6, 7, 8, 9)

  • Family option: Rooms 3 & 4 can interlead (two bathrooms; king + two singles) or be booked separately.

  • Bedding: All king beds can convert to two single/twin beds on request (please specify when booking).

  • Children: Minors must be accompanied and supervised by a responsible adult at all times (stairs/balconies present).

  • Visitors: Only registered, paying guests may overnight. Visitors by prior arrangement only.


3) What’s Included

  • Daily housekeeping, fibre Wi-Fi, Smart TV (with selected DStv channels), in-room coffee station & bottled water, bathroom amenities (hand/body wash & lotion, shower caps, soap, cotton wool & earbuds).

  • Breakfast served each morning. (If we change to a room-only rate in future, this will be shown clearly at the time of booking.)

  • Parking: On-site, access-controlled parking with electric fencing & CCTV (see House Rules & Liability).

Dinner: Not served on site. We gladly recommend nearby restaurants or arrange meal vouchers on request (e.g., The Heights Restaurant & Bistro, Spur, Panarottis, John Dory’s) or a plated home-style meal placed in your room by prior arrangement and at additional cost.


4) Rates, Taxes & Payment

  • Rates are per room per night, subject to availability, seasonal demand, and change without prior notice until a deposit is received.

  • If VAT becomes applicable, rates will be shown including VAT (where applicable) at confirmation.

  • Deposit to confirm: 50% of the total booking amount is required within the time limit communicated (immediate for card; 48 hours for EFT). Unpaid provisional bookings may be released automatically.

  • Balance: Payable on arrival (check-in) unless otherwise stated in a corporate/agent agreement.

  • Methods: EFT, major cards, or secure links we provide. Bank charges/foreign exchange fees are for the guest’s account.


5) Check-in / Check-out & Identification

  • Check-in: from 14:00 to 20:00 (after-hours by prior arrangement).

  • Check-out: by 10:00 (late check-out subject to availability and a day-use fee).

  • A valid ID/driver’s licence/passport is required for each room.

  • The registration/indemnity and house rules form must be signed on arrival (acceptance of damages, payments, and policies).

  • A pre-authorisation or refundable security deposit may be taken on your card to cover incidentals, key/remote loss, extra cleaning, or damages.


6) Changes, Cancellations & No-Shows (CPA-aligned)

You may cancel an advance booking under section 17 of the Consumer Protection Act subject to a reasonable cancellation charge that reflects losses we incur from late cancellations and our ability to re-sell the room.

Standard individual bookings (1–2 rooms):

  • 14+ days before arrival: refund of deposit less a R150 admin/bank fee.

  • 7–13 days before arrival: forfeit 50% of the total booking value (typically equals the deposit).

  • 0–6 days, no-show, or early departure: 100% of the total booking value is due/retained.

Groups / peak periods / special events (3+ rooms or as specified on your pro-forma):

  • Deposits may be non-refundable and longer notice periods can apply (e.g., 21–30 days). Terms will be stated on the pro-forma/quote.

Fee fairness: We always aim to be reasonable and will reduce/waive fees if we fully re-sell the room(s) for the same dates. Documentary proof can be requested.

Cooling-off: CPA’s 5-business-day cooling-off applies only to reservations concluded because of direct marketing. It does not generally apply to ordinary online/phone bookings.

Refund timing: Approved refunds are processed to the original payment method within 7–10 business days, less any bank/FX fees.


7) Date/Occupant Changes

Changes are subject to availability and may result in a rate difference. Reducing nights or rooms after confirmation is treated as a partial cancellation of the released portion.


8) House Rules (summary)

  • Non-smoking indoors: In terms of South African law, all internal areas are non-smoking (including e-cigarettes). Designated outdoor areas are available. A reasonable cleaning fee (e.g., ozone/linen replacement) will be charged for violations.

  • Quiet enjoyment: No parties, disruptive noise, or illegal activity. We may ask non-compliant guests to leave with no refund.

  • Braai & fireplaces: Use designated patios/braai areas safely and responsibly.

  • Pets: Not permitted, except trained service animals by prior arrangement.

  • Safety of children: Constant supervision required; the property has stairs and balconies.

  • Loss/damage: Guests are liable for loss, breakage, extra cleaning, or key/remote replacement at cost. Amounts may be charged to the pre-authorised card.

9) Liability, Parking & Personal Property

While we take care to provide a safe environment (CCTV, electric fencing, controlled access), parking and use of facilities are at your own risk. Uitzicht Guesthouse, its owners and staff are not liable for loss, injury or damage unless caused by our gross negligence or wilful misconduct. Please use safes where provided and keep rooms/vehicles locked.


10) Force Majeure & Relocation

If events beyond our reasonable control (e.g., load-shedding impacts beyond backup capacity, water outages, fire, strike, pandemic regulations, government action) make it impossible or unsafe to provide your stay, we may cancel or modify your reservation. We will offer date changes, credit, or a refund (less services already consumed) and, where feasible, help with reasonable relocation options.


11) Third-Party/Corporate/OTA Bookings

If you booked through a corporate travel desk, agent or OTA, their displayed terms may also apply. Where there is a conflict, the more restrictive cancellation/payment rule typically governs that booking.


12) POPIA & Records

We process Personal Information as described in our Privacy Policy (guest registers, CCTV in common areas, Wi-Fi connection logs, booking and invoicing records). Requests or complaints under POPIA can be addressed to our Information Officer, Elmien van Zyl (details above).


13) How to Pay / Banking

Bank details or secure payment links are provided on your pro-forma or booking confirmation. Please use the invoice/booking number as reference and email proof of payment to info@uitzichtguesthouse.co.za. EFTs must clear before arrival.
